How Do We Make Shirt Handout Take Minutes Instead of Hours?

Printing the shirts is only half of a school apparel project.

After they arrive, somebody still has to get the correct items to the correct students and families.

If the printer returns everything in bulk stacks by size, the program has inherited another job.

The easier solution is to keep each online order together through production, then return the finished merchandise individually bagged and labeled for handout.

What Traditional Shirt Sorting Looks Like

A paper sale usually creates separate pieces of information. A form says:

• Smith family
• 1 medium shirt
• 1 large shirt
• 1 XL hoodie

Another sheet says something else. Payments are attached somewhere.

Then the printer returns bulk merchandise:

• Box of mediums
• Box of larges
• Box of XLs
• Box of hoodies

Now volunteers have to rebuild the Smith order from scratch. Then rebuild the next order. Then the next one.

That is why programs end up covering cafeteria tables with piles of shirts.

Digital Ordering Keeps the Customer Information Attached

With an online store, the customer information starts digitally. The order already contains:

• Customer or student name
• Products
• Sizes
• Quantities

Nobody at the school has to take information from a handwritten form and enter it again. That removes one opportunity for mistakes before production even begins.

Individual Bagging Changes the Entire Handout

Instead of “Who ordered a medium?” the handout becomes: “Jackson.” Bag. Next student. “Martinez.” Bag. Next student.

The important difference is that the sorting work has already happened before the program receives the merchandise.

Sorting Also Helps Reduce Mistakes

Manual repetitive work creates opportunities for mistakes:

• A medium gets dropped into the wrong family pile
• A hoodie is missed
• Two similar names get mixed up
• Someone takes a bag home and later discovers one item is missing

No fulfillment system eliminates every possible human error. But removing unnecessary re-sorting means there are fewer times the order information has to be manually handled.

Compare the Whole Service, Not Only the Shirt Price

When comparing apparel providers, ask what happens after the shirts are printed.

Ask These Questions

• Are individual customer orders kept together?
• Are school-delivery orders individually bagged?
• Are the bags labeled?
• Can the student’s name be included?
• Does the program receive bulk merchandise that volunteers have to sort?
• Can home shipping be offered?
• Who handles an incorrect or missing item?

Those answers are part of the service you are buying. A quote that saves a little on the garment but creates a Saturday-afternoon sorting project may not actually be cheaper for the organization. Staff and volunteer time has value too.

Directors Should Not Lose Rehearsal Time to T-Shirts

For a band or choir program, apparel handout should not consume a rehearsal. The merchandise should support the program, not interrupt it.

That is why sorting and labeling is not a minor bonus feature for us. It is part of solving the actual problem directors and boosters brought us in the first place, whether the order is marching band show shirts or a choir concert tee.
